Services — What We Will Handle
01
Apostille Procurement We will obtain the apostille issued by Japan’s Ministry of Foreign Affairs under the 1961 Hague Convention on behalf of our clients. Eligible documents include academic certificates, family register extracts, corporate registry records and other officially issued public documents. Private documents require notarisation first.
02
Embassy Authentication For countries not party to the Hague Convention — including China, the UAE and Qatar — we will handle the two-step process of MOFA Confirmation of Seal + Embassy Legalisation. Requirements vary by country and institution; our Akasaka location provides direct, rapid access to the relevant embassies.
03
Notary Public Assistance Private documents — powers of attorney, affidavits, contracts and company-issued letters — must pass through a notary public before they can receive an apostille or embassy legalisation. We will manage coordination with the notary and all subsequent steps on your behalf.
04
Certified Translation + Authentication We will provide certified translation (Japanese ↔ English, French, Spanish and more) together with apostille or embassy authentication in a single, seamless workflow. The Ministry of Foreign Affairs does not offer translation services; our one-stop solution eliminates the need to coordinate multiple providers.
FAQ — Common Questions

What is an apostille?

An apostille is a certificate issued by Japan’s Ministry of Foreign Affairs under the 1961 Hague Convention, confirming the authenticity of a public document so that it is legally recognised in other member countries (125+ nations). Once an apostille is attached, no further legalisation by the destination country’s consulate is required.

What is the difference between an apostille and embassy legalisation?

If the destination country is a signatory to the Hague Convention, an apostille is sufficient. For non-signatory countries — such as China, the UAE or parts of India — documents must first receive MOFA Confirmation of Seal, then be legalised by the relevant embassy in Tokyo. The correct route depends on the receiving country and institution; please feel free to enquire.

Can I use your services from outside Tokyo, or from overseas?

Yes. Our service is fully remote — documents are handled entirely by post, email and LINE. We will accept instructions from anywhere in Japan and from clients residing overseas, provided a domestic representative in Japan is available if required.

How long does the process take?

Apostille applications submitted by post to the Ministry of Foreign Affairs typically take 3 working days as standard. Embassy legalisation timelines vary by embassy but generally require 1–2 weeks. An express plan will be available for urgent cases after opening. Please contact us to discuss your timeline.
